Responsibilities

Raytheon is looking for an experienced Inventory Mission Support Administrator with an active TS/SCI clearance and polygraph

The Mission Support Administrator performs a variety of administrative duties, providing mission support within the Mission Directorates/ Community. The position provides general and specific administrative services and directly supports one or more functions or business areas, including: facilities management, finance, human resources, imaging and publishing, information management, logistics, procurement, medical, security, and general administrative support. Mission Support Administrator work is to provide assistance to the completion of routine to moderately complex tasks for general office and/or program support.

Duties/Tasks and Responsibilities

Mission Support Administrators perform a wide range of duties. Depending on the functions and business areas supported, duties may include the following:

Office Administration

1) Calendars, phones, email

* Maintains a schedule of appointments for a manager or office
* Monitors e-mail and telephones of manager(s) or office members

2) Documents and correspondences

* Drafts, proofreads, and edits correspondences
* Tracks and monitors status of incoming and outgoing cable traffic
* Produces other documents such as instructions, spreadsheets, presentations, and reports

3) Filing and information management

* Maintains tracking records and filing systems; archives files as necessary
* Performs as a recorder or back-up for time and attendance (T&A) accountings for the area of assignment
* Maintains and updates databases or spreadsheets
* Performs data input, data collection and research; retrieves information or documents from databases and the Internet
* Performs as a focal point for response to queries regarding local in-house and Agency-wide administrative databases.
* Presents information through briefings to various audiences

Prepares and tracks various statistics

* Evaluates, proposes, and/or implements innovative and/or new administrative processes to improve the efficiency and effectiveness of support administration

4) Office management

* Coordinates and/or participates in the scheduling, organizing, and execution of meetings, conferences, and off-sites
* Participates in meetings and events: serving as recorder or working member of group, and may brief or present administrative support related information
* Makes travel arrangements for unit managers and others
* Greets and/or escorts visitors and guests
* Opens, sorts and distributes incoming mail, newspapers, faxes, and other publications/documents
* Prepares weekly status reports of action items and completion of tasks related to the execution of a program, process, or transaction
* Provides back up support and assistance to office support positions and functions, as required

5) Cover/Security

* Passes and receives clearances and prepares access lists as necessary
* Conducts security processing such as National Agency Checks, name traces, ordering credit reports and reviewing crossover clearances

6) Logistics

* Orders supplies and arranges for the repair of office equipment
* Maintains inventory; issues equipment, records, receipts, or supplies
* Orders and assigns various key material in support of customer requirements
* Researches pouch shipments and initiates pouch traces
* Provides oversight and accounting for inventory
* Assists in the transportation of material and people
* Assists with office renovations and move management activities
* Administers, supervises, or performs work pertaining to the procurement, inventory control, and destruction of registered material utilized by the Agency
* Coordinates Agency wide key requirements within the Agency
* Manages responsibilities for pouching of classified material to the field

7) Finance

* Maintains and reconciles accounting records
* Processes travel, training, and POV vouchers
* Exercises approval authority for credit card purchasing
* Handles disbursing transactions including airline tickets, metro checks, and general travel information
* Tracks overall program spending, including burn rates on individual contracts

8) Contracts Management

* Supports the administration, management, and process for the hiring and maintenance of independent contractor resources
* Prepares contractual instruments and related approval documents necessary to execute contracting actions
* Monitors the status, administration and negotiation of contracts
* May perform Level 1 Contracting Officer Technical Representative duties

9) Training

* Assists in training design, development, delivery, and execution
* Initiates contact with potential speakers from industry and academia
* Prepares marketing plans for training products and services

Desired Skills:

* Analytical skills sufficient to assess moderately complex information from multiple sources and draw logical conclusions
* Strong interpersonal skills to maintain effective working relationships with team and customers
* Strong oral and written communication skills sufficient to compose and deliver responses to customers' routine to moderately complex questions in a clear and concise manner
* Ability to perform as a focal point for a program or process
* Ability to manage own activities and office workflow under tight deadlines
* Ability to efficiently and rapidly store and retrieve information using filing and tracking systems
* Ability to establish administrative contacts and professional relationships for networking and liaison across the Agency.
* Ability to apply a strong customer focus orientation to understand customer requirements, suggest, and implement solutions
* Ability to ensure that management, co-workers, customers, and stakeholders are kept informed
* Ability to adapt to changing work requirements and priorities that may require overtime or extended hours

Minimum Experience:

* Top Secret clearance with polygraph is required.
* Requires a minimum of two (2) years of experience

Required Education (including Major): HS Diploma or equivalent

Please Note: This position can be classified as either an A02 or A03 dependent on the experience.
